Understanding: User Roles & Capabilities
When creating or editing a Grow user, you can define user roles and capabilities.
This article explains what the user roles and capabilities are about and how they can be used.
User roles
Each role comes with built-in permissions aligned to its purpose — for example, Publishers can create and publish Experiences, while Creators can design them but not publish. Admins can always add or remove specific capabilities to customize access further.
| Role | Default Access | Typical Use Case |
|---|---|---|
| Admin | Full access to all features, including user management, account settings, analytics, and Experiences. | For account owners or system administrators. |
| Publisher | Can create, edit, publish/unpublish Experiences, moderate user content, and view analytics. | For marketing or campaign managers who need to launch content. |
| Creator | Can create and edit Experiences and templates but won’t be able to publish an Experience. | For designers or content producers who build Experiences but don’t publish them. |
| Insights | Read-only access to analytics and insights dashboards. | For analysts or stakeholders who only need to review performance data. |
Capabilities
Besides selecting a user role, an Admin can also add or remove capabilities for a user.
A role defines a user's overall level of access, while capabilities provide additional flexibility by letting Admins fine-tune specific permissions within that role.
| Capability | What it enables |
|---|---|
| Export Personal Data | Allows exporting entries and winners (including personal information). |
| View Personal Data | Allows the user to view entries that contain personal information. |
| Form Editor (legacy) | Allows editing or replacing forms associated with a legacy Experience. |
| Manage Integrations | Manage and configure integrations connected to the account. |
| Manage Account Library | Manage shared assets such as themes, and account templates used across Experiences. |
| Moderate User Generated Content (legacy) | Approve or reject user generated content, and manage seeded content. |
| Manage Winners | Generate, preview, and export winners for Experiences that support contests. |
| Experience Scope | Choose whether a user can access the Experience Library or account templates only. |
